Applies to:
All auditors and non-auditors completing ADP proctored assessments or the Phase 2 Evaluation process

ADP proctored assessment and Phase 2 Evaluation events (collectively "proctored sessions") are intended as final examinations that verify your knowledge of IATF 16949 and related standards and your ability to apply these requirements in audit situations.  As a result, these assessment/evaluation activities must be completed under controlled conditions, at authorized proctor facilities, under the authority of proctor staff who will enforce IATF assessment policies and guidelines.

This document is intended to explain the kinds of behavior that are expected or forbidden at proctored sessions (including Phase 2 Evaluation events), but it is not exhaustive.  Please review the information provided in the Proctored Session Joining Letters (in-person and Live Virtual) and other supporting information (such as the Live Virtual Information Package) for additional guidance.

In case of any ambiguity, please ask the proctor before taking any action.  If necessary, the proctor will contact the ADP Support Team.  All decisions made by the proctor and/or by the ADP Support Team are considered final at the session.

  1. Assessments may only be completed at scheduled proctored sessions and you must be under the oversight of the authorized proctor at all times.  Likewise, Phase 2 Evaluation Case Studies may only be accessed at schedule Phase 2 evaluation events and you must be under the oversight of the authorized proctor or evaluators at all times.  You may NOT leave a proctored facility, or leave the Live Virtual proctoring environment (Zoom meeting with video/audio/screen sharing), and continue taking ADP assessments or accessing Phase 2 Evaluation Case Studies.
    1. While completing the Initial Assessments, break screens indicate when you are allowed to temporarily step away from the computer to get food/drink or use restroom facilities.  You may also take a break in between retake assessments.  At Live Virtual proctored sessions, you must keep broadcasting your video and screen contents during these break periods.  At Phase 2 Evaluation events, time-permitting, you will be allowed a break between your Case Study Review and the Interview.

    2. The proctor needs to be able to fully verify your assessment conditions at all time during the proctored session.  During Live Virtual Proctored sessions, you may NOT obscure your face or video feed, use a filter/background, or take any other action that would obstruct the proctor's view of you and the assessment environment. At any time, the proctor may request additional actions to verify your room conditions, which could include a 360° video of the entire room. You must immediately and fully comply with any proctor requests to re-verify your room conditions.

    3. If you get disconnected from your Zoom meeting during a Live Virtual proctored session, immediately stop taking the ADP assessment (or accessing the Phase 2 Evaluation Case Study), log out from the ADP, and attempt to reconnect to the Zoom meeting.  The proctor will admit you back into your Breakout Room and allow you to continue your proctored session.  If you attempt to continue the assessments/Case Study while disconnected from the proctored Zoom environment, this will count as an infraction that could disqualify you as an IATF auditor.

  2. You may NOT talk or communicate to anyone except the authorized proctor(s) during the proctored session.  You may NOT talk to others in person or use any software or device that facilitates communication (including chat, messaging, phone calling, video sharing, etc.) to communicate with any other party, including during designated breaks.
    1. At an in-person proctored session, all personal electronic devices will be collected by the proctor and may not be used for the duration of the proctored session.  You may not install or use any additional software or tools on facility-provided computers or access any websites besides the ADP.

    2. At a Live Virtual proctored session, all personal electronic devices will be inspected and verified to be completely turned off, which also includes computer peripherals such as scanners and printers.  These devices may NOT be used for any reason throughout the session.  If you are in a shared location, you must ensure that you are not disturbed while completing the assessments.  Additionally, you may NOT use additional monitors.

    3. At a Live Virtual proctored session, you may NOT wear earphones, headphones, or a headset.  You must use a room/area microphone so the proctor can hear you, and hear audio through computer speakers so you can hear the proctor.  Your microphone must also NOT be muted at any time while taking ADP assessments (but may be temporarily muted during designated/scheduled breaks).

  3. You may NOT retain or transmit/share any information about the questions that appear in your proctored assessments, or about the information in your Phase 2 Evaluation Case Study.  You may NOT take notes, take screenshots of assessment questions, use screen capture/recording/broadcasting software, use external cameras/recording devices (including such functions on mobile devices or tablets), or use any other possible method to capture, store, retain, or transmit any information related to the ADP assessments or any IATF evaluation materials.
    1. If you have a concern about the content or translation of any question during the assessment/evaluation process, use the "Log Issue" feature in the ADP to submit a report.  This is the ONLY accepted way of submitting concerns that will be reviewed for any potential scoring impactand is the approach the IATF employs to allow a review/appeal of automated scoring decisions.  If for some reason you are unable to use the Log Issue feature, contact the proctor who will inform the ADP Support Team for immediate resolution.

    2. At a Live Virtual proctored session, you must turn off all unnecessary computer programs; only Zoom and your web browser should be running along with any absolutely-necessary software (firewall, antivirus, corporate VPN, etc.).  In particular, the following types of software MUST NOT be running: software facilitating chat/real-time communication, online meeting tools (except the copy of Zoom used in the session itself), email software, web browsing tools/software (except the one browser window and single tab used to take the ADP assessments), document/note-taking tools/software, or screen capture/recording tools/software.
    3. At in-person Phase 2 Evaluation events where you are asked by the Training Organisation to bring your own device, this device will be subject to inspection by the proctor, and the same rules explained above for computers at Live Virtual proctored sessions apply.

    4. If you receive unauthorized information about any ADP assessment or evaluation activity, immediately inform your Oversight Office or the ADP Support Team along with any related evidence.  If it is determined that you were made aware of unauthorized assessment/evaluation information but did not take appropriate action to report it, this will count as an infraction that could disqualify you as an IATF auditor.

  4. You may NOT access any other websites or use any other computer tools/software while at proctored sessions.  While you are permitted to have a physical/paper copy of approved IATF reference documents, you may NOT use digital/online copies.  You may NOT bring any additional notes, documents, or other materials with you to the session.
    1. The reference documents permitted in paper format ONLY at an ADP proctored session are:
      • ISO 9001:2015 standard
      • IATF 16949:2016 standard, Sanctioned Interpretations (SIs), and Frequently Asked Questions (FAQs)
      • Rules for Achieving IATF Recognition document (latest/relevant edition), Sanctioned Interpretations (SIs), and Frequently Asked Questions (FAQs)
      • Translation Dictionary

    2. You may NOT use pencils, pens, highlighters, or any other similar tool to mark up reference documents during proctored assessments or Phase 2 Evaluation events.

  5. If the proctor believes, for any reason, that you have taken any action that is contrary to these policies or guidelines, or seems in their judgement to be contrary to the intention behind these policies and guidelines, they may ask you to leave the proctored session.  You agree that you will immediately and fully comply with the proctor's request in any such situation.  Details of the situation and related objective evidence will be reviewed by IATF Global Oversight to determine subsequent actions.

  6. If you encounter any technological problem or situation during the proctored session that prevents you from completing the assessments or evaluation process properly, immediately notify the proctor/evaluator.  They will contact the ADP Support Team to immediately intervene whenever possible and necessary.  Issues reported after the fact without an appropriate attempt to resolve the issue during the session by the proctor/evaluator contacting the ADP Support Team cannot be considered.  For duly-reported issues that could not be appropriately or fully resolved, the IATF may, at their discretion, choose to provide affected individuals with free retakes at a future ADP proctored session.

  7. The IATF or ADP Support Team will NOT provide you with a copy of your assessment questions or answers or provide you with details of how your assessments or Phase 2 evaluation results were graded.  If you raised any concerns during the proctored session using the Log Issue feature, these concerns will be dutifully reviewed by the ADP Content Review Team.  In cases where this review determines an error existed in the content or translation, this could result in the question being cancelled or the scoring for the question being adjusted and your assessment/evaluation being regraded accordingly.  The IATF may also decide, at its discretion, that it does not agree with the feedback provided and that the question/answer will not be modified. For concerns related to these deliberations, please have your CB direct inquiries to their Oversight Office.

Any violation of the IATF Proctored Assessment Policies and Guidelines constitutes grounds for loss of IATF-recognition for the certification body and loss of IATF-issued auditor credentials for the individual auditor involved.

The IATF may take additional action, including legal action, if the violation results in any compromise of assessment material.
